Privacy Policy
This Privacy Policy explains how Bid Intelligence ("Bid Intelligence", "we", "us") collects, uses, and shares personal information in connection with the Bid Intelligence website at bidintel.co and the Bid Intelligence application (together, the "Service"). Bid Intelligence is a business-to-business analytics tool for construction contractors that bid public transportation work.
1. Information we collect
We collect only the information we need to operate the Service. Importantly, the bid, project, and pricing data inside the application is business/commercial data (including data published publicly by state transportation departments) — it is not personal information about you.
Information you provide
- Access requests (waitlist): when you request access from our website, we collect your name, work email, and company name.
- Account information: if your firm is provisioned an account, we store your email address, your display name, and your role within your firm's workspace.
- Communications: if you email us or contact support, we keep that correspondence to respond and for our records.
Information collected automatically
- Technical data: when you submit an access request, we record the submitting IP address and browser user-agent string for security and anti-abuse (rate limiting). When you use the application, our infrastructure providers process standard server/access logs.
- Local storage: the application stores a small number of functional values in your browser's local storage (for example, your light/dark theme preference and your workspace identifier) so the app works correctly. These are not advertising cookies.
- Product analytics: within the signed-in application (not the public website), we use PostHog, a product-analytics provider, to understand which features are used so we can improve the Service. We capture a small set of usage events (for example, which tab you open, or when a bid upload completes) keyed only to internal account identifiers — not your name or email. We do not use advertising pixels, cross-site trackers, or session recordings. Analytics data is processed in the United States.
2. How we use information
- To evaluate and respond to access requests and to set up and manage firm accounts.
- To provide, maintain, and secure the Service, including authentication, multi-tenant data isolation, anti-abuse, and audit logging.
- To communicate with you about the Service (service messages, responses to your inquiries).
- To comply with law and to establish, exercise, or defend legal claims.
3. How we share information
We share personal information only with service providers ("subprocessors") that help us run the Service, and only as needed for them to perform their function under contract. Our current subprocessors and what each one processes are listed on our Subprocessors page and include our cloud database/authentication provider, our hosting provider, and our source-control/CI provider. We may also disclose information if required by law or to protect the rights, safety, and security of Bid Intelligence, our customers, or others, and in connection with a business transfer (e.g., merger or acquisition).
4. We do not sell your information
We do not sell your personal information, and we do not "share" it for cross-context behavioral advertising, as those terms are defined under the California Consumer Privacy Act (CCPA/CPRA). We do not use your information for targeted advertising.
5. Data retention
We keep personal information only as long as needed for the purposes above, then delete or de-identify it on a schedule:
- Access requests: retained while we evaluate them and for a limited period after; rejected/stale requests are purged on a recurring schedule.
- Account information: retained for the life of your firm's account and deleted (or anonymized) after account closure, subject to legal/records requirements.
- Security/audit logs: retained for a bounded period for security and integrity purposes, then purged or de-identified.
6. Security
We take reasonable and appropriate measures to protect personal information, including: encryption in transit (HTTPS/TLS) and encryption at rest provided by our infrastructure; strict per-firm data isolation enforced at the database layer (row-level security); least-privilege access controls and a locked-down public API surface; a content-security policy and standard security headers; and audit logging of changes to firm data. No method of transmission or storage is perfectly secure, but we work to protect your information and to maintain a documented incident-response process.
7. Your privacy rights
Depending on where you live (for example, California and other U.S. states with privacy laws), you may have the right to:
- Know / access the personal information we hold about you;
- Correct inaccurate personal information;
- Delete your personal information;
- Opt out of the sale or sharing of personal information (note: we do not sell or share it).
To exercise any of these rights, email us at privacy@bidintel.co. We will verify your request (typically by confirming control of the email address on file) and respond within the timeframe required by applicable law. You may use an authorized agent where the law permits. We will not discriminate against you for exercising your rights.
8. "Do Not Track"
Because we do not track users across third-party websites or services, we do not respond differently to browser "Do Not Track" signals. We simply do not perform that kind of tracking.
9. Children
The Service is a business tool intended for use by businesses and their personnel. It is not directed to children, and we do not knowingly collect personal information from anyone under 18.
10. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Effective" date and version above, and for material changes we will take additional steps as required by law. Your continued use of the Service after an update means you accept the revised policy.
